AI consulting for nonprofits: fundraising, grants and program reporting

Native helps nonprofits put AI agents into donor data, gift processing, grant work and program reporting, so small teams spend their time on donors and the mission instead of spreadsheets. Staff approve anything that goes to a donor or a funder. A first agent can be live within weeks, inside the CRM the organisation already runs.

Where AI has an impact at nonprofits

Gift entry

Gifts from every channel read and matched to the right donor record, with exceptions flagged.

Acknowledgments

Thank-you letters drafted with the right tax wording and personal details, for staff to approve.

Donor data cleanup

Duplicates found and merges proposed with the evidence, so the file stays trustworthy.

Prospect research

Public information on major gift and foundation prospects summarised before each meeting.

Grant applications

Program data, budgets and past reports gathered into each funder's format.

Funder reporting

Outcomes pulled from program records and shaped for each funder's schedule and template.

Volunteer coordination

Shifts filled, reminders sent and questions answered from the volunteer handbook.

Donor service

Questions about receipts, recurring gifts and updates answered from the record, with hand-offs to staff.

Why nonprofits feel the admin load most

Nonprofit teams are small, and their back office is busy. Gifts arrive by cheque, card, online form and donor-advised fund, and each one has to be entered, matched to the right donor and acknowledged. Duplicate donor records pile up. Every grant has its own application, its own budget format and its own reporting schedule, and program staff rebuild the same numbers for each funder.

That work matters, because donors and funders notice when it slips. But most of it follows clear rules, which means agents can carry it and staff can spend their hours on relationships and programs.

Donor trust comes first

Donor data is personal and donors expect it to be handled carefully. Agents run inside the organisation's own CRM and accounts, see only what each task needs, and log every action. Nothing goes to a donor or funder without a person approving it, and donor preferences, such as no phone calls or no mailings, are respected by every agent.

Grant writing gets the same discipline. Agents gather facts and draft structure; the story of why the work matters stays in the voice of the people who do it.

What an engagement looks like

We start with the development and finance teams: where gifts come from, how they are entered, how acknowledgments go out, and what each funder needs and when. The first agent, usually gift entry and acknowledgments, goes live within weeks. Within months donor data, grants and reporting run with agents, and staff are trained to keep the rules and templates current.

Agents work inside the systems nonprofits already use, such as Salesforce Nonprofit Cloud, Raiser's Edge, Bloomerang and grant portals. The lead-data work Native did for Augustine Institute, unifying records from several sources and matching each institution to the right offer, is the same kind of work a development team needs for its donor file.

How to measure the impact

  • Days from gift received to acknowledgment sent
  • Duplicate donor records found and resolved
  • Staff hours per grant application and per funder report
  • Donor retention year over year
  • Share of staff time spent on programs and relationships

Case study · A national nonprofit with regional chapters

A national nonprofit cleared its gift backlog and sent every acknowledgment within two days.

Native helped a national nonprofit put agents on gift entry, donor deduplication and acknowledgment letters. Gifts are entered and thanked within two days, and the donor file no longer splits one donor across several records.

2 daysfrom gift received to acknowledgment sent, down from about three weeks
~10,000duplicate donor records resolved
6 weeksfrom kickoff to the first agent in production

The challenge

Gifts arrived through chapters, online forms and the mail, and a small finance team entered them by hand. Acknowledgments ran weeks behind at year end, and duplicate records meant some donors were thanked twice while others were missed.

What we built

  • A gift entry agent that reads each gift from every channel, matches it to the donor and flags anything unclear for staff.
  • A deduplication agent that proposes merges with the evidence for each one, for staff to approve.
  • An acknowledgment agent that drafts letters with the required tax wording and the donor's history, ready for approval.

The result

Donors were thanked promptly and correctly, the year-end rush stopped spilling into the new year, and the development team trusted its own data again.

Frequently asked questions

How can nonprofits use AI?

For the back-office work that small teams struggle to keep up with: gift entry, acknowledgments, donor data cleanup, prospect research, grant applications and funder reports. Staff approve anything that goes to a donor or funder.

Can AI write grant applications?

AI can gather the program data, budgets and past reports a funder asks for and draft the structure. The case for the work is best written by the people who do it, and staff review every application before it is submitted.

Is donor data safe with AI?

It can be, when agents run inside the organisation's own CRM and accounts, see only what each task needs, respect donor preferences and log every action.

Where should a nonprofit start with AI?

Usually gift entry and acknowledgments. The volume is steady, the rules are clear, and donors notice the difference within weeks.

Does AI work with Salesforce Nonprofit Cloud or Raiser's Edge?

Yes. Agents work inside the donor CRM the organisation already runs, so it stays the system of record.
