AI consulting for wholesale distributors

Native helps wholesale distributors put AI agents on order intake, quoting and the stock questions that keep inside sales on the phone. Agents read each emailed order or quote request, find the items and the customer's pricing in your ERP, and hand a rep a draft to approve. The same order-entry pattern is in production at USCAPE.

Where AI has an impact in distribution

Order intake

Emailed and EDI purchase orders drafted as sales orders with every line matched to your item master.

Quoting

Quote requests priced by account tier and contract, with stock checked across every branch.

Item matching

Customer descriptions and competitor part numbers matched to your SKUs, with unknowns held for a rep.

Stock and availability questions

Customers and reps get branch-level availability without a phone call to the warehouse.

Supplier acknowledgements

Vendor confirmations and backorder notices reconciled against open purchase orders automatically.

Order status

Where-is-my-order questions answered from the ERP and the carrier's tracking.

Receivables follow-up

Overdue invoices chased on a set cadence, with the first message approved by a person.

Catalog maintenance

Supplier price files and new items loaded and checked before they reach the price book.

Why quoting decides who wins in distribution

A contractor or a reseller sends the same request to two or three distributors, and the first accurate quote usually gets the order. Building that quote means finding each item among thousands of SKUs, applying the account's price tier and any contract pricing, and checking stock in every branch. Reps do it by hand while the phone rings.

Agents take on the lookup and the arithmetic. They match the customer's description to your part numbers, apply the right price, check availability across warehouses and draft the quote. The rep reviews it, adjusts margin where it matters and sends it.

AI in the supply chain for distributors

Distribution sits in the middle of the supply chain, so most of its paperwork is somebody else's format. Customers send 850 purchase orders over EDI or as PDFs, suppliers send acknowledgements and backorder notices, and carriers send tracking. Each one has to be read and reconciled against the ERP before anyone can answer a customer.

Agents read every inbound document, match it to the open order and flag only the differences: a short shipment, a price that moved, a promised date that slipped. Buyers see exceptions instead of an inbox, and customers hear about a backorder before they have to ask.

The systems we work with

Agents work inside the distribution ERP you already run, such as Epicor Prophet 21, Infor CloudSuite Distribution, NetSuite, Acumatica or SAP Business One, and alongside your EDI provider and shared inboxes. Item masters, price matrices and branch stock are read directly, and every order an agent drafts is written through the ERP's own interface with a full record.

An unknown part number never gets guessed. The line waits at a gate for a rep, and the answer is kept so the agent recognises that description next time.

What an AI engagement in distribution looks like

We begin at the counter and the inside sales desk, mapping how orders and quote requests arrive and how long each step takes. The first agent, usually order intake, goes live within weeks. Quoting, supplier documents and customer status follow, and within months the sales and purchasing teams both work with agents every day.

You own the result outright: the agents run in your accounts, on your data, and your people are trained to change their rules as pricing and catalogs move.

How to measure the impact

  • Minutes from quote request to quote sent
  • Quote-to-order conversion
  • Orders keyed by hand per day
  • Customer calls about order status
  • Exceptions caught before the customer notices

Case study · A regional building-products distributor

A building-products distributor cut quote turnaround from half an hour to a few minutes.

Native helped a distributor with two warehouses and a busy inside sales desk put agents on quoting and order intake. Reps now review drafted quotes and orders instead of building them line by line.

~5 minper quote, down from about 30
~50quote requests a day handled by the agent first
8 weeksfrom kickoff to both agents in production

The challenge

Quote requests arrived by email and phone from contractors who also asked two competitors. Each quote meant searching about 12,000 SKUs, applying account and job pricing, and calling each warehouse for stock, so a quote took half an hour and the slow ones lost the job.

What we built

  • A quoting agent that matches each requested item to the catalog, applies the customer's pricing and checks stock in both warehouses.
  • An order agent that drafts sales orders from emailed purchase orders and holds any unmatched item for a rep.
  • A review queue in the ERP where reps adjust margin, approve and send, with every action logged.

The result

Contractors got quotes while they were still comparing, reps spent their time on margin and relationships, and unmatched items stopped turning into wrong shipments.

Frequently asked questions

What does an AI consultant do for a wholesale distributor?

An AI consultant finds where inside sales and purchasing lose time to reading, looking up and re-keying, then builds agents that do that work inside your ERP. At Native the same team designs and builds the agents and stays until they run in production.

Can AI build quotes for a distributor?

AI can do the lookup, pricing and stock check that make up most of a quote, and draft it for a rep. The rep keeps control of margin, substitutions and anything outside contract pricing.

How is AI used in distribution supply chains?

Mostly on documents: purchase orders from customers, acknowledgements and backorder notices from suppliers, and tracking from carriers. Agents read and reconcile them against the ERP so people only see the exceptions.

Does AI order entry work with Prophet 21 or NetSuite?

Yes. Agents work through the ERP's own interfaces, so orders land exactly as if a rep had keyed them, with a record of every write.

What should a distributor automate first?

Order intake or quoting, whichever costs your inside sales team more hours. Both are high-volume, rule-based and visible to customers within weeks.
